Integrated Management System

Integrated Management System

i-Manage Compliance can be used as an integrated system, or as a stand-alone module and was developed in line with various ISO Standards. The system is a complete electronic compliance solution to address all needs for business compliance. i-Manage Compliance displays your company’s legal compliance on a single dashboard in real time.

Backbone

The system was developed in Oracle and is cloud based, meaning it can be accessed from anywhere in the world. It can even be accessed by tablet or smart phone.

ISO Standards

The system was developed inline with the ISO standards and satisfy all the requirements of ISO 9001, 14001, 22001 and 45001.

Customisable

The system is not an of-the -shelf product. Al the modules in the system are fully customisable to allow the user to use their own documentation.

Modular

Users can choose which modules they want to use. Access to modules is controlled through the security module.

Cost effective

The system is powerful enough to be used by multi-national companies but can also accommodate a single user. You can choose the amount of user licenses required and change your subscription at any stage. Quotations are tailor made, depending on the amount of user licenses and the services required.

The ISO standards have all been written with clearly identifiable similarities, which means that to comply with every standard, you would need information you already need for a different standard. We have identified these similarities as “integrals”. i-Manage Safety is a cloud-based electronic management system, designed to ensure the integration of the various areas of your business. The integration functionality of the i-Manage System focuses on the management of all generic processes and tasks that are compatible in the management cycle which are based on the Plan- Do-Check-Act cycle, continuous improvement to satisfy customer demands, and organisational consideration of the product chain in which it operates.

Why use an integrated management system?

An integrated management system focuses on the clauses which are common between different standards, even though each contains certain clauses which are specific to its area of application. Integration relies on finding the integral parts of these standards to avoid duplication and enable you to standardise your processes, allowing you to save time and focus more on the specifics of each standard.

Which standard is “most important”?

There will always be debates about which standards should be prioritised in an organisation. But the truth is that no one standard should be prioritised above another. By making effective use of an integrated management system, you reduce the risk of any one standard falling behind, as you need to manage them all effectively for it to work.

Value Add of i-Manage Safety

i-Manage Compliance has a Health and Safety division that offers our clients an electronic safety solution that is backed by knowledge and experience of registered safety professionals who will guide clients throughout the onboarding process. i-Manage Compliance was developed in line with ISO 45001 (Occupational Health & Safety) and is unique in the South African market, a complete electronic safety solution to address all needs for Health and Safety. The system allows any company, however big or small, to take full control of all aspects of their Health and Safety systems, in real-time, from anywhere in the world. The system is fully customisable, it is not an “off the shelf” product. Clients can decide which modules they want to use, and the Safety Management System is then build to fit within the client's framework.

The i-Manage Compliance Management System displays the company’s legal compliance on a single dashboard in real time. If the company has multiple branches and the user has the appropriate security access, the user can filter or navigate to any one of the branches and to any specific activity. This allows head office to see, in real-time, what is going on at branch level. All non-conformances can be viewed on a single summary page and can be addressed in real time. The system automatically creates a ticket when there is any non-conformance in the system, which can be assigned to the responsible person, to act on it and the user will receive an email or SMS as a reminder.

Most items have specific workflow on which we can set reminders and notifications. The system, for example, automatically escalates any incident that is recorded to the minutes of the Safety Committee meeting. Any information that can help companies identify trends can be exported from the system. The system displays expiry dates of documents on various report pages to prevent crisis management and to allow for more careful planning. It displays which training certificates are due to expire, which inductions need to be done and which toolbox talks are scheduled. Maintenance can also be scheduled against a specific asset and the system will notify the applicable users when maintenance is due via the automatic monitoring of the electronic registers.

i-Manage Compliance’s food safety module is flexible enough to accommodate the requirements of BRC and HACCP. The biggest advantage is that you have all your information together in one system.

The document library enables users to control all documents, the communication sessions thereof, document numbers and version control.

All training, inductions, procedure, and toolbox talks communication can be easily monitored and refresher dates planned in advance.

All incidents can be monitored and managed through the incident module.

The electronic register module enables users to complete all registers electronically on a tablet or smart phone and notifies them immediately of any non-conformances to prevent unnecessary loss of product. Because the data is in electronic format, it can be analysed to pick up trends and assist with BI (business intelligence)

To prevent non-conformances during an external audit, you can create electronic audits through the audit module. All non-conformances can be escalated for actioning in real time. Your audit report now becomes an action sheet.

HACCP

The goal of the HACCP plan is to prevent or control hazards that have been identified by the HACCP team, who provides justification for the hazard, as well as possible control measures.

Critical control points are procedures at which a food safety hazard can be prevented or reduced to acceptable levels. The number of CCP's needed depends on the control needed to assure food safety.

A critical limit is a measure based on scientific literature and or regulatory standards. It's the maximum and or minimum value to which a biological, chemical, or physical parameter must be controlled.

Procedures will be set in place for the measurement of the critical limit at each CCP. Monitoring procedures should describe how, when, by whom and how frequently the measurement is taken during production.

The HACCP team will have to identify which steps need to be taken to prevent potentially hazardous food from entering the food chain and correct the process.

Verification determines the validity of the HACCP plan and that the system is operating according to the plan, such as auditing of CCP's, record review, instrument calibration and product testing as part of the verification activities.

Recordkeeping is a key component of the HACCP plan and can be used to prove that the food was produced safely. Records need to include information about the HACCP plan, information on the HACCP Team, product description, flow diagrams and the 7 principles mentioned.

Implementing the requirements of Food Safety in your organisation is a huge challenge.

Maintaining the demands of the various required processes and documentation which must be audit ready is daunting to put it mildly...
